Duty planning and the subsequent approval of daily time sheets for all employees is often a cumbersome task for the store manager, but not in the 15 Løvbjerg Supermarked stores, where manual procedures have now been replaced by the smart Staff program.
Løvbjerg Supermarked has used EG Retail (previously known as IT Gruppen) as its IT provider for more than eight years. This close cooperation has meant that the Løvbjerg Supermarked store solution has been developed continuously, and Løvbjerg Supermarked now uses modern IT all the way from the cash register to the main chain office.
The Løvbjerg administration in Horsens has complete focus on optimising the company processes. Previously, the store managers in the chain spent many hours on time registration and duty planning, which was not ideal.
"Hand-written daily time sheets and homemade Excel sheets used to be common in our stores. This is why we decided to optimise the daily time registration and duty planning routines. We invited 3-4 suppliers to Horsens, and they all presented their products. Staff was presented by EG Retail, and we were not in doubt about our choice of product since all our questions were answered," explains Johnny Rosenlund, IT manager at Løvbjerg Supermarked.
Advantages with Staff
The central parts of Staff are the employee master data and the duty plans for the stores. All employees are created and maintained in Staff, and it is possible to take employee preferences regarding holidays into account as well as regular days off, requests for days off and compensatory time off.
"Whenever a new employee is hired, we create the employee in Staff. Then the employment contract is printed – also from Staff. The final step of the procedure is to send the master data electronically to the HR system of the chain," says Johnny Rosenlund.
"I save a lot of time every day. Previously, I spent at least half a day when payment time was approaching and I had to approve all daily time sheets. Now I only spend 2-3 minutes a day to control the staffing of the previous day," adds Søren Christensen, store manager of Løvbjerg in Viborg.
Relevant courses with the employees' own data
All Løvbjerg store managers took a training course in Staff before the system was taken into use. The courses were held on site at the Løvbjerg training facilities in Viborg and were based on real data from each store. The course participants had prepared for the course by bringing their duty plans and finding out what wishes their employees had for their future working hours.
"It was a major advantage to work with our own data during the course. It made the course very relevant and easy to relate to. When we left the room after the course, we all had current plans that we could immediately use in our stores," Søren Christensen continues.
Correct payment of wages every time
There is a sign-in computer with a touch screen in the employee area in the stores on which employees register their working hours. When they are ready to start in the morning, they register their arrival in Staff. During the day, they register their breaks, and by the end of their working day, they sign off. This way, Staff always keeps track of working hours.
"Previously, I spent a lot of time checking whether the registered hours were correct. My employees could make mistakes, but so could I. In Staff, the hours are always correct, and it gives us all security and peace of mind. The employees do not see Staff as monitoring and control, but only as a help to ensure that they get the correct wages," says Søren Christensen, and he continues:
"I spend a couple of minutes every day to verify my data in Staff. This means that with a few mouse clicks, I can transfer the information from Staff to our payroll system."

Løvbjerg is a Danish supermarket chain with 16 stores all over the country.
